Van Hire Incidents: A Step-by-Step Guide to Safety and Reporting

Important Note – Collision Damage Waiver (CDW):
We offer a CDW that reduces your excess from £250 to zero for a small payment. However, if you fail to follow this checklist in full, the CDW will be void and you will be liable for an excess of £250.


1. Ensure Safety First

  • Stop Immediately: Bring the van to a complete halt in a safe location.
  • Activate Hazard Lights: Switch them on to alert other road users.
  • Check for Injuries: Ensure you, any passengers, and others are safe. Call emergency services (999 or 112) if there are any injuries.
  • Remain Calm: Take a few deep breaths to keep your mind clear and focused.

2. Secure the Scene

  • Move the Van (if safe): If the van is drivable, move it off the main road to prevent further accidents.
  • Set Up Warning Devices: Place a warning triangle (if available) at an appropriate distance to warn approaching traffic.
  • Even if No Third Parties Are Involved: Always secure the scene and document it, even if it’s just you and the van.

3. Gather and Document Information

  • Record Essential Details:
    • Date, Time, and Exact Location of the incident.
    • Weather and Road Conditions.
  • Take Photos and Videos:
    • Capture clear images of all damage to the van and any other property involved.
    • Record the overall scene to provide evidence.
  • Note Down Your Own Observations:
    • Even if no third parties are present, write a brief summary of what happened.
  • Collect Contact Information:
    • If other drivers or witnesses are present, exchange names, addresses, phone numbers, and insurance details.

4. Do Not Admit Fault

  • Stay Neutral: Avoid apologising or admitting responsibility at the scene. Simply record the facts.

5. Notify Us Immediately

  • Contact Our Team:
    • Report the accident to us as soon as possible using the contact details provided in your rental agreement. It is very important that you speak to one of our team before you leave the scene. Out of office hours, there is a number on your hire agreement.
    • Provide all gathered information and photographic evidence.
  • Complete Required Forms:
    • Fill out any incident report forms provided by our hire company without delay.

6. Inform the Authorities (if applicable)

  • Police Notification:
    • Call the police immediately if there are injuries, if another party leaves the scene, or if required by law.
    • Follow any instructions given by the authorities.

7. Contact Your Insurance Provider

  • Report the Incident:
    • Notify your insurer or any additional coverage provider about the accident, even if you do not plan to claim immediately.
  • Provide Evidence:
    • Submit all photographs, notes, and details collected at the scene.

8. Keep a Detailed Record

  • Retain Copies:
    • Keep copies of all reports, forms, and communications regarding the incident.
  • Follow Up:
    • Stay in touch with us and your insurer until the claim or repair process is fully resolved.
